Manage Groups lets an iQ admin control which brands each internal user can query in iQ.
You create a group, choose the brands it covers, and add users to it. When a user in a group asks a question, iQ uses only that group's brands.

Before you start

Brand restriction is enforced in iQ, not in your BigQuery warehouse. Use groups for internal agency users only. Don't add client users yet. A fuller version that supports clients is in development.

Pre-requisite

  • You need to be an iQ Admin to manage groups and invite users .
  • Before adding users to a group, ensure they’ve been invited to iQ. If anyone is missing, invite them through the Manage Users module first. To learn how to invite users to iQ, read this.

How access works

  • A group is a named set of brands.
  • A user can belong to one group at a time.
  • A user in a group sees data for that group's brands only.
  • A user who is not in any group sees data across all brands.

Creating a group

1. Open Manage Groups in iQ.

2. Click to create a new group and give it a name your team will recognize, such as the team or portfolio it serves.

3. Select the brands the group should have access to.

4. Save the group.

Adding users to a group

You can do this from either Manage Groups or Manage Users

To Add from Manage Group Module

  1. Click on the three dots corresponding to the group you want to add users to.
  2. Choose the users to add. The list contains users already invited through Manage Users.
  3. Save

To Add/Modify Group access from Manage Users Module

  1. Click on the three dots corresponding to the user you want to assign a group to, and click “Edit group”.
  2. Choose the group you want to put that user in from the group list shown in the dropdown.
  3. Save

The user's access changes right away: their next question uses only the group's brands.

Changing Group/Removing complete restriction

  • Change a user’s group: Go to Manage Users, click Edit Group, and select the group you want to assign to the user.

  • Restore access to all brands: Remove the user from their current group and move them to No Group. Users who aren’t assigned to a group have access to all brands.

Troubleshooting

I can't find a user to add to a group.

Invite them in Manage Users first. Only invited users appear in group lists.

A user still sees every brand.

Confirm they are assigned to a group. Users with no group see all brands.

A user can't see a brand they need.

Check which brands their group includes and add the brand, or move the user to a group that has it. A user can be in only one group.

I need to give a client access.

Don't add clients to groups yet. Contact your Saras account team to hear when client support is available.

FAQ

Does this restrict access in BigQuery?

No. Groups apply to questions asked in iQ. Anyone with direct warehouse access keeps their current access.

When and how do I need to re-invite my team member?
If a user hasn’t accepted their previous iQ invitation, you can resend it using the Invite Again option under Actions for that user in the Manage Users module.

Can a user be in more than one group?

No. Create a new group instead with access to all the brands that the user needs.
